Executive Assistant

Location: Lebanon, TN (Nashville, TN)

Job Summary

The Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the President. The Executive Assistant also serves as a liaison to the senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

Key Responsibilities

  • Completes a broad variety of administrative tasks for the President, Executives, Operations, and International Teams including but not limited to: composing and preparing correspondence that is sometimes confidential; itineraries and agendas; presentations; expense reporting and meeting development and planning.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, Executives, Operations, and International, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the President's office, Executives, Operations and International Teams, and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Works closely and effectively with the President, Executives, Operations, and International Teams to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritizes conflicting needs; handles matters expeditiously and proactively. And follows through on projects to successful completion, often with deadline pressures.  
  • Assists with travel arrangements, lodging, meal planning, and expense reporting, as needed.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail; excellent written and verbal communication skills.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, all-staff meetings, hotel, meeting planning, and presentations.
  • Maintains discretion and confidentiality in relationships. Very strong ethical and interpersonal skills and the ability to build relationships with the executive team, staff, board members, franchises, etc.
  • The main point of contact for the facility. Greet incoming visitors/guests. Answer and screen multiple phone lines and direct calls to the appropriate department or person; take messages when appropriate.
  • Provide administrative support help to other staff members, including, but not limited to: writing/typing/editing correspondence, filing, copying, scanning, and creating spreadsheets/ documents.
  • Maintains and orders all office supplies, kitchen supplies (i.e., coffee, creamer, cups, etc.), and janitorial cleaning supplies for the facility; maintains an accurate, updated inventory of all and keeps supply closet clean and organized.
  • Responsible for stocking, organizing, and maintaining supplies in all breakrooms and supply rooms throughout the building.
  • Maintains a neat and clean desk and reception area at all times. Assists in other duties and special projects as assigned.

Qualifications

  • Bachelor's degree required
  • Minimum of five years of executive administrative support experience
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

Plant Maintenance Lead

Location: Lebanon, TN (Nashville, TN)

1. Job Summary

  • Oversees the operational effectiveness of world-class manufacturing equipment and facilities in a manner consistent with company policies and procedures.
  • Ensures maintenance and staffing requirements are met, competent leadership is maintained, and a safe work environment exists for all employees.
  • Ensures adherence to IATF16949 requirements and enforces all environmental, health and safety policies and procedures, current attendance program, and disciplinary action program.

 

Key Responsibility

• Ensures the efficient and effective readiness of manufacturing equipment and building systems.

  • Schedule maintenance activities based on production releases to minimize inventory.
  • Ensure maintenance requests and work orders are prioritized, completed, and tracked in accordance with operational needs.
  • Ensure all work is performed properly and in accordance with safety procedures and OEM instructions
  • Oversee equipment to ensure proper handling.
  • Provide ongoing technical support for Capital Project installations.

• Oversees and takes a leadership role to address daily operations and problem areas

  • Be visible, assume leadership, and assist in developing and initiating an effective health and safety attitude. Participate and initiate in continuous safety training.
  • Receive and review shift reports from production supervisors and address areas of concern.
  • Maintain communication channels with production personnel to ensure efficient daily operations. When and where required, train and assist production personnel.  
  • Ensure the production floor is well equipped, well maintained, and efficiently designed 
    • Per the IATF16949 requirements, ensure the hat production floor is equipped with proper work instructions and procedures to carry out manufacturing activities.
    • Ensure properly maintained equipment and appropriately trained personnel are available to carry out these activities.
    • Support new program launches and engineer changes that include floor layouts, staffing, and quality and tooling requirements.
    • Provide a continuous review of departmental processes to improve the overall effectiveness.
  • Establish or assist in the creation of robust safety, environmental, and quality control plans
    • Assist the quality team in the creation and implementation of quality control plans FMEAs.
    • Ensure that the OSHA and internal safe operating principles are in place and adhered to.
    • Comply with provisions of the OSHA Regulations and Environmental Standards and take every precaution reasonable in the circumstances for the protection of the employees.  
    • Ensure employees are acquainted with and aware of the hazards present in the workplace and provide information, instruction, and competent supervision of employees. 
    • Act as Owner/Operator representative for Environmental Programs, Reports, and Applications.

Qualifications

  • HS Diploma, GED completion, or equivalent experience
  • 5+ years working in an industrial manufacturing maintenance environment
  • 2+ years working in a supervisory role in manufacturing
  • Must have and maintain a valid Driver’s License
  • Strong technical background and a general understanding of good manufacturing practices
  • Fluent in English (verbal, reading, writing)
  • Experience using MS Office Suite
